Education and Experience

Position Description
Rationale
The SDWG Secretariat is hosted by Université Laval as a result of a Global Affairs Canada Call for Proposals. The SDWG is one of six Arctic Council working groups, and is tasked with protecting and improving the environment, economy, social conditions, and health of Indigenous communities and inhabitants of the Arctic.
The Secretariat's role is to support the working group in fulfilling its mandate by providing administrative support such as organizing meetings and drafting reports, disseminating official SDWG communications, distributing documents, coordinating the working group's activities, providing logistical support, managing the SDWG's website, and performing any other administrative tasks assigned by the SDWG chair or by the SDWG as a whole. The Executive Secretary manages the staff of the SDWG Secretariat, the finances associated with the Secretariat, and in some cases, the finances associated with projects carried out by the SDWG.
The priorities and directives of the working groups’ secretariats are established by their Chairs. The Executive Secretary of the SDWG Secretariat is responsible, together with its team, for addressing the administrative and logistical needs of SDWG and its Chair.
Job Summary
Reporting to the Executive Secretary, the Project Coordinator assists the latter in their duties.
This position requires excellent management skills to support the Executive Secretary in his duties. The successful candidate will be experienced in logistical, budgetary and administrative follow-up, as well as project management. They will also be responsible for assisting the Executive Secretary in organizing meetings and managing activity reports, as well as any administrative tasks required by the host and funding institutions.
Roles and responsibilities
- Supports the Executive Secretary by ensuring administrative follow-up and managing budgets;
- Manages files relating to SDWG activities and accountability;
- Manages the use of premises, equipment and materials, and handles procurement and inventories;
- Contributes to the negotiation and conclusion of partnerships, agreements and arrangements;
- Establishes and maintains relationships with organizations, partners and suppliers;
- Collaborates in the revision and improvement of processes and the development of information systems;
- Supports and collaborates to the organization and execution of SDWG meetings and activities.
Profile and assets :
- Knowledge and interest for the Arctic and Circumpolar regions;
- Excellent project management skills;
- Good written and oral communication skills;
- Knowledge of international organizations involved in Arctic issues;
- Knowledge of northern and Arctic communities;
- Ability to work in an international context.
