Reel One Entertainment is a dynamic international television distribution company with offices in Montreal, Vancouver, Los Angeles and London. Reel One is looking for an Administrative Assistant to work out of its Montreal office.

Position Overview

Reporting to our Corporate Controller, your role will be to assist the Finance and the Distribution teams and act as our Montreal office assistant.

 

Responsibilities:

 

Office management

  • Answer general phone inquiries and direct them to the appropriate staff members
  • Sort mail, faxes, and courier deliveries and distribute them among staff members
  • Prepare and send mail/fedexes/couriers
  • Forward incoming general e-mails to the appropriate staff member, including general email accounts like sales, copyright and others
  • Update office databases (ie telephone directory and skype addresses in conference room)
  • Coordinate signature process for all documents to be signed by the President (prepare, scan and send documents)
  • Manage office supplies/purchase office groceries
  • Organize kitchen and Storage Room and liaise with cleaning company
  • Prepare office/desk for visitors & make hotel arrangements for visiting staff members
  • Coordinate maintenance of office equipment (printer & alarm system)

Finance

  • Prepare deposits (fill out forms; scan and send deposits to bank)
  • Coordinate Iron Mountain storage of boxes of archived documents (update log; label boxes and data entry through Iron Mountain’s website)
  • Corporate credit cards - code all expenses into Excel; scan receipts; follow-up missing receipts
  • Scan and save payables cheques on server; mail out cheques
  • Prepare monthly earnings report for films
  • Ad hoc analysis for Financial Statement reporting

Distribution

Weekly:

  • Keep Starcm database up to date with the most recent changes such as titles, cast members, Directors and new language versions
  • Update our IMDB page accordingly; new IMDB pages to be created for some movies
  • Enter sales estimates in Filmtrack database
  • Perform regular scans on Youtube (for copyrights infringements) and ensure our movies are not available on this platform

Monthly:

  • Update our summary report monthly with details of royalties collected
  • Generate monthly invoices

AD Hoc projects:

  • Review and select stills  
  • Perform various research on companies, people and projects
  • Additional requests as required

 

Qualifications:

  • You have 2 to 5 years’ experience in an administrative support role; experience in the TV movies industry is an asset
  • You have experience in assisting multiple departments
  • You are organized and detail oriented
  • You have experience working in a fast-paced environment and you are used to multi-tasking
  • You have excellent communication skills (verbal and written) in both English and French
  • You have a positive attitude and are a fast learner
