The Meeting & Event Planner is responsible for planning and delivering on an array of CIM Convention programs and activities, from logistics to on-site supervision. He/She plans, coordinates and executes niche conferences and professional development activities. The planner provides support to the convention and Professional Development planners. He/She produces narrow focus, topic specific short courses and symposiums throughout the year.

ROLE AND RESPONSIBILITIES

ANNUAL CONVENTION 

Plan projects and programs delivered during the CIM annual convention – From November to May, full-time activities include the research, processing and implementation of elements, content and partners who will make up specific events at the Convention: Student Program, Women in Mining activities, networking receptions, short courses, field trips, private meetings and more. These deliverables involve planning, logistics, synergies, marketing and other related activities. Desired outcome: Build programs that feed into CIM conferences, Membership and CIM as a whole and ensure member and stakeholder engagement i.e. Conference student program, networking receptions, short courses, volunteer program, staff scheduling, production of materials, etc. 

MEETING AND EVENTS

Manage small-scale narrow-focus symposiums from planning to delivery - including but not limited to conference planning, technical program management, logistics, marketing as well as related and spin-off activities. Desired outcome: Deliver high quality conferences that may or may not include a trade show component.  

Work with symposium volunteer committees – Facilitate communications and workflows involving Program Chairs, contributors, speakers and involved CIM constituent groups. Desired outcome:  mobilize the group involved with building and delivering content towards optimal high quality and on-time delivery of all programming components for the event.

Run the Distinguished Lecturers Program – Package, align, promote and coordinate all activities pertaining to CIM Award winning Distinguished Lecturers, present and past, delivering presentations at CIM branches across the country, including Student Chapters who Universities are supported by a branch.  Purpose: Deliver top quality presentations to CIM members in their region while promotion award winning level leaders whose content is recognized by the mining community at large.

Assist in the delivery of CIM webinar series and other digital PD offerings – Facilitatewebinars, webcasts, podcasts featuring industry experts and their specific content. Run these events as administrator and in support to the PD Planner. Desired outcome:  Participate in the expansion of professional development CIM community members can access digitally between conferences.

Collaborate with Events and Marketing Team – partake in and oversee that marketing planning and execution are timely, effective and ensure full audience reach. Assist colleagues with content pertaining to projects at hand. Desired outcome: Reach as many qualified leads as possible through marketing initiatives.

Note: The Meetings and Events mandate will be primarily concentrated from June to November for delivery of activities year-round.

Knowledge, Experience and Skills - The work requires:

  • Formal training in event planning, marketing or the equivalent
  • 2 years’ experience in an event planning / coordination role
  • Fluidity in capturing and applying content to events and audiences
  • Organizational skills, multi-tasking ability and attentiveness to detail
  • Fluency in the use of the MSOffice suite as well as registration management software
  • Technology savvy to learn and operate different systems
  • Excellent verbal and written communication skills in both official languages
  • Comfortable with volunteer and committee structured organizations
  • Curious, resourceful, creative and solution-driven
  • Team spirited and collaborative
  • Able to multi-task and manage stress levels
  • Flexible with schedule and able to travel
